  Be clear about the objective
  

  • Mind the language 
  • Be specific and precise  
  • Value time  Follow a basic structure
  • Be careful while formatting  
  • Ensure receiver reads it

   

   

  Always remember your objective and you are initiating the communication and you are replying to earlier communication. When you are the initiator you have to state your objective clearly and organize your matter. Ask for feedback if required.

   

  When you are replying make a note of all queries and prioritize required things.
  Try to keep the context clear. Keep the language simple, use proper grammar, punctuation's and check for spelling errors. The style should be simple, it should not be overly formal. Try to avoid personal and conversational things.
